Wedding Co-Ordinator

Individuality is key to our wedding service and to this end whilst we offer guidelines and a variety of packages we speak to each couple to ensure that we provide them with their perfect day.

We are looking for a full time Wedding Co-Ordinator to work within our busy Sales Office.  This is a full time position covering 5 days from 7, a committment to be able to work evenings and weekends is essential.

 

 

Job Description

Objective: To receive, convert and implement wedding enquiries.


Main Responsibilities:

• To be responsible for all administrative details involved in weddings.  This includes confirmation, cancellations, amendments and contracting.
• To produce daily and weekly function sheets, daily menus and place cards as required.
• To arrange for flowers, photographers, pianists, harpists etc. for weddings if required.
• To recommend and arrange menus and wines.
• To liaise with the Conference and Banqueting Manager, Chef and Restaurant Manager on a regular basis and at weekly meetings to ensure familiarisation with all details of wedding.
• To arrange and carry out show rounds for potential guests promoting all facilities at Kilworth House Hotel and Theatre in conjunction with other members of the Sales Team.
• To identify new users of Kilworth House Hotel and Theatre and liaise with the Sales Team to convert to "regular" guests.
• To liaise with Room Reservations for any residential enquiries.
• To follow up event by telephone in the first instance to monitor satisfaction and obtain re-booking.
• To understand the needs and expectations of each individual client by building a friendly and respectful working relationship
• Account Management
• To assist in the preparation of budgets.
• To generate new business for the hotel and Theatre by being aware of selling all services.
• To actively seek all sales and revenue opportunities both internal and external to increase the profile of the hotel and Theatre. 
• To ensure that billing and credit agreements are managed and controlled.
• To maximise all upselling and cross selling opportunities
• To produce a weekly report
• To produce a monthly competitor rate report
• To perform all day-to-day routine operations, ensuring all enquiries and bookings are processed accurately and efficiently
• To ensure that rate updates and information passed from the Reservations Manager are quickly and correctly implemented in all selling channels, if required.
• Ensure that all telephone calls and written correspondence are carried out and actioned in an accurate and timely manner, in accordance with the departmental standards.
• To maintain complete, accurate and up-to-date filing of all correspondence.
• To accurately input all electronic bookings on the day of booking.
• To ensure all bookings are guaranteed and secured with the appropriate backup minimising non-arrivals.
• To carry out correspondence checks as detailed in the departmental standards.
• To assist in any Show Rounds and entertainment of company clients as requested 
• To maintain the highest standards of courtesy, efficiency and appearance to both guests and colleagues
• Actively and successfully manage the sales process from lead generation to close
• Possess drive, motivation and acute attention to detail in ensuring all sales opportunities to Kilworth House Hotel and Theatre are captured and explored
• Create and be accountable for all client proposals, contracts and any further documentation.
• Understanding of clients objectives.

• To manage all weddings enquiries and communicate all requests to the relevant departments concerned.
• To ensure knowledge of product, client relationships and services is maintained and communicated to all relevant personnel.
• To evaluate sales performance and product on a regular basis in order to recognise challenges for the future.
• To ensure effective daily communication with other Sales personnel, Reservations, Reception, Housekeeping, Food and Beverage and Kitchen.
• Ensuring Kilworth House Hotel remains proactive and responsive to prospective clients.


General
• To ensure all Statutory Regulations are adhered to.
• To undertake any reasonable requests made of you by Kilworth House Hotel and Theatre including flexibility in hours, location and responsibilities.

You will be delivering the hotel's bedroom turndown service including refreshing guest bathrooms.  Experience is desirable however training given.  You will need to be energetic and be able to work to a high standard.  Hours are approximately 4.00pm to 9.00pm, includes working weekends. Rate of pay starts at £7.00 per hour plus gratuities

Kitchen Porter - Casual

You will work as part of the Back of House team at Kilworth House Hotel and Theatre to achieve and maintain high standards of kitchen hygiene
         

MAIN RESPONSIBILITIES :
Operating dish washing machine
General deep cleaning of kitchen equipment
General tidying of the back of house area
Empty bins
Recycling
The putting away of deliveries
Cleaning of Kitchen changing rooms

We are looking for a full time Night Porter, 40 hours per week, working 5 shifts out of 7.

 

The duties of the Night Porter role at Kilworth House Hotel and Theatre are:

Set, clear and clean all conference rooms to the agreed standard

Perform security procedures throughout the evening

The position is full time working 40 hours per week, 5 days out of 7, split shifts.  You will work under the guidance of a Chef de Partie and Demi Chef de Partie and have the opportunity to continue your Professional Cookery qualifications on day release at a local College if you do not already possess your Level 3 qualification.

Bar Assistant

The Food and Beverage department is looking for a Bar Person to provide our guests with outstanding customer service.  Key responsibilities will include providing a table service to guests, maximising sales opprtunities through up selling, ensuring all charges are posted correctly and payments are received, working in our Cellar Bar and Log Cabin and maintaining Kilworth House Hotel and Theatre's health, safety and cleanliness standards.

The ideal candidate for this role will have previous experience in a similar role, have a sound knowledge of spirits, beers, wine, cocktails and coffee, be able to communicate effectively in English, be able to work well under pressure and have a friendly, flexible and professional attitude.

You will be responsible for ensuring all customers receive a warm greeting when they telephone Kilworth House Hotel. Based in the busy Sales Office you will also assist with general administration duties. Hours are Monday 9.00am to 6.00pm and Tuesday to Friday 9.00am until 1.30pm.
