Theatre Box Office Assistant
Full time, 40 hours per week, Monday to Friday however the role will include evening and weekend work during Theatre season

Purpose of the role: To assist in the smooth and efficient running of the Box Office in a professional and courteous manner.

Main Responsibilities:
- To answer both telephone enquiries and theatre reservation telephone calls in a timely and polite manner
- To respond to telephone messages and call back requests in a timely and polite manner
- To book theatre tickets and pre-theatre dinner tickets using the current Kilworth House Theatre ticketing system.
- To greet theatre patrons who call in person at Kilworth House Hotel to reserve / purchase theatre tickets and efficiently administer their requests.
- To monitor and answer effectively e-mail box office enquiries regarding the theatre performances, dining options, access etc
- To identify and follow-up expired reservations for theatre tickets and dining options
- Manually record details in the Theatre Access Diary where necessary for guests with disability requirements
- To collate and post tickets and theatre office post when required.
- To enter guest’s menu choices on Excel spreadsheets for Orangery shows
- To run the Theatre Ticket Office during the season some evenings and weekends operated on a shared rota with other staff
- To effectively sell and administer accommodation bookings and dining options in relation to Kilworth House Theatre bookings
- To assist the Theatre Administrator with the programming of all Theatre and Theatre in the Orangery events and associated dining onto the Box Office system for sale through both the Box Office and on-line booking site, and to be responsible for running reports and data collection through the Box Office system as required
- Liaise, book and send reservation confirmations to group bookers
- To undertake general administrative duties within the Theatre Office

- To attend training and to support other departmental training as required, where appropriate
- To be aware of Fire Evacuation procedures. Statutory obligations in line with Company Policies
- To maintain the highest standards of courtesy, efficiency and appearance to both guests and colleagues
- To develop a close working relationship with all departments, colleagues and managers to ensure guest expectations are met.
- To be acutely aware of press and public relations.
- To actively liaise with all departments, ensuring the integrity of Kilworth House Hotel and Theatre.
- To ensure effective communication with other Sales personnel, Reservations, Reception, Housekeeping, Food and Beverage and Kitchen.
- To ensure all Statutory Regulations are adhered to.
- To undertake any reasonable requests made of you by Kilworth House Hotel and Theatre including flexibility in hours, location and responsibilities.
- To be willing to help other departments of the hotel wherever possible and to understand the flexibility required when business levels peak and trough, to deliver the best possible service.
- To comply with all policies and procedures as written in the staff handbook.
- To ensure that you are trained to uphold the conditions of the Health and Safety Policy.
- To demonstrate a willingness to adapt your approach where necessary
- To actively put forward practical ideas to generate business for the department and the Hotel and encourage others to do so
- You will have access to highly confidential information. Under no circumstances may any confidential information be relayed to a 3rd party
